Fees to Landlords

Hawksgrove Estates Ltd is committed to providing clear and transparent information about the fees and charges that may apply to our residential letting and property management services.

All fees shown below are inclusive of VAT at the prevailing rate. Where a fee cannot reasonably be determined in advance, we explain how the fee will be calculated. The applicable fees will depend on the service selected and the terms of the landlord’s agency agreement.

Tenancy Agreement: £150 including VAT. Preparation of the tenancy agreement and issue of the relevant tenancy documentation.
Tenant Referencing: £75 including VAT per applicant. Processing the tenant application and arranging the required referencing. The exact charge will depend on the referencing service required.
Permitted Occupant Check: £30 including VAT per occupant aged 18 or over. Carrying out the required Right to Rent checks for additional adult occupants.
Guarantor Referencing: £75 including VAT per guarantor. Processing the guarantor application and arranging the required referencing where a guarantor is required.
Deposit Registration: £50 including VAT. Registering the landlord and tenant details and arranging protection of the tenancy deposit with the applicable authorised scheme.
Inventory Arrangement: £60 including VAT, plus the inventory company’s charge. Arranging the inventory and check-in. The inventory company’s charge depends on the size, condition and contents of the property, and will be confirmed separately.
EICR Arrangement: £60 including VAT, plus the contractor’s charge. Arranging and obtaining an Electrical Installation Condition Report where required. The contractor’s charge depends on the property and the scope of the inspection.
Gas Safety Certificate: £120 including VAT, includes inspection of the boiler and cooker. Additional appliances: £30 including VAT per appliance. Where the property has a gas installation volume exceeding 0.035m³ and a commercial gas safety inspection is required: £300 including VAT for the first two appliances, plus £60 including VAT for each additional appliance.
Carbon Monoxide and Smoke Alarms: £42 including VAT per carbon monoxide alarm, £30 including VAT per smoke alarm. Covers arranging and obtaining the required alarms. Where installation is required, any additional contractor charge will be confirmed before works are instructed.
Check-Out Arrangement: £60 including VAT. Arranging the check-out inspection and, where applicable, preparing or assisting with a schedule of dilapidations, liaising between landlord and tenant, and making recommendations following the check-out. The cost of the check-out itself is charged separately by the inventory company used, depending on the size, condition and contents of the property.
Sale of the Property to the Tenant: 1.5% including VAT of the sale price. Applies where a property is sold to a tenant introduced to the property by Hawksgrove Estates, subject to the terms of the landlord’s agency agreement.
Letting Service Renewal Commission: 8.4% including VAT of the total rent. Reviewing the rent against the current market, advising the landlord, negotiating the renewal and agreeing the renewed tenancy.
Fully Managed Renewal Commission: 14.4% including VAT of the total rent. For example, if a renewal is agreed at £1,000 per calendar month for a further 12 months, the total rent is £12,000 and the renewal fee would be £1,728 including VAT.
Additional Property Visits: £90 including VAT per visit, where specifically requested by the landlord or required in connection with the tenancy, maintenance or other agreed property management matter.
Non-Resident Landlord (NRL) Services: £540 including VAT per year. Preparing and submitting the relevant financial information to HMRC quarterly, making any applicable deductions and providing appropriate documentation, including an NRL6 where applicable.
Refurbishment Arrangement: 12% including VAT of the net cost of the works, minimum fee £180 including VAT. Applies to refurbishment works above and beyond routine day-to-day property management. Contractor charges are separate and payable by the landlord.
Vacant Property Management: £90 including VAT per visit. Where instructed, we will visit the vacant property every two weeks, or more frequently where agreed, and assist with utility accounts and other agreed matters.
Court Attendance: £300 including VAT per hour, where Hawksgrove Estates is required to attend court or a hearing on behalf of the landlord.
Obtaining Consents: £84 including VAT per document.
EPC and Floor Plan: £144 including VAT.

Letting Service – Additional Arrangement Fees

These are Hawksgrove Estates’ arrangement fees. Where a contractor is required, the contractor’s invoice is separate and payable by the landlord.

Gas Safety Record and Service (up to three appliances, excluding engineer’s invoice): £120 including VAT.
Portable Appliance Testing (up to 10 appliances, excluding engineer’s invoice): £60 including VAT.
Gas Safety Record and Portable Appliance Testing (excluding engineer’s invoice): £120 including VAT.
Smoke and Carbon Monoxide Alarm Installation (excluding contractor’s invoice): £60 including VAT.

Client Money Protection

Hawksgrove Estates Ltd is a member of the Money Shield Client Money Protection Scheme, valid to 1 April 2027. A copy of our certificate is available here.

Consumer Redress

Hawksgrove Estates Ltd is registered with The Property Ombudsman (TPO) Approved Redress Scheme, Registration No. E02487. A copy of our certificate is available here. Our complaints handling procedure is available on request.

The fees above are intended to provide clear information about the charges that may apply. The exact services and charges applicable to each landlord will be confirmed in writing before you enter into an agency agreement or instruct a chargeable service.
